Employee Maintenance

Congratulations! You are now ready to start setting up employees. 

If you are reading this and haven't covered the items in the tutorial prior to Employee Maintenance you should really consider reading the help file in sequence. Many of the concepts that will be discussed here will be dealt with assuming prior knowledge of the principals.

All employees are assigned an employee number (6 digits). Don't worry, there are multiple search features available, so in fact the employee number is only a reference. The employee profile is divided into seven frames, some of which themselves are further divided into sub-frames. They are accessible from the help screen as seven separate entries. Each one will be dealt with in turn. When setting up the employee information some of the information will be defaulted, so that in most cases there really isn't that much to do.

When starting an implementation one of the things you may want to consider is to transfer your existing employee master into the new payroll electronically. Before making this decision you should consider that with payroll environments with less than 200 employees this route is not that cost effective. In our experience we find that manually setting up the employee master is faster than trying to transfer them electronically. While the 200 number is not hard and fast, it is a guide. Please discuss this issue with us before making this decision.

The fields on the first screen are self explanatory and represent the employees demographics. The important field to consider on this screen is the province and province worked. If an employee lives in one province/state and works in another then these fields should reflect that fact. Provinces/States are maintained in the Province/State Maintenance function. 

For US clients: If you change the state worked the system will remind you to change the State tax fixed deductions. 

The department field represents the home department for the employee. This is the default and can be changed when posting time. Departments are set up in the Company/Department Maintenance.
