Standard Template Maintenance

Standard templates are used for recording detail expense information for salaried employees. For hourly employees the detail expense information will be posted via their time cards so standard templates need not be created for them. However, salaried employees will not typically record time sheets so the template will allow for the recording of their expense across the various G/L codes.

In general you will have three types of employees: hourly, salaried, and hourly/salary. The template is designed for those employees that fall into the third category. They are on a full salary, but their hours need to be expensed according to a pre-set scheme. They will typically carry an hourly rate in their profile, but their gross pay will always be the same.

The first frame allows you to define the template-code, the description, and the template length. The template length can be different for each template and will determine how many days this template covers. In the example above we are dealing with a bi-weekly template hence the length of 14.

You will then check the boxes associated with the days that the employee will work. In our case days 2-6 and 9-13 are checked. These are the days that you will be paying to your employee. The system will calculate the actual date using the period starting date in the period definition file. In the next two frames you will define the actual distribution of hours and g/l codes that will be used when creating the employees pay check.

This frame will list all the distributions by day number. Click add to add new distributions, edit to edit the highlighted item, delete to delete, or search.

You must ensure that all the distribution hours add up to the hours that they will work in the period. If you do not enter hours for a particular day and that day is clicked on, then the system will automatically retrieve the hours per day  from the employee master profile. Clicking on the add or edit button will bring you to this screen:

This is where you will enter the Day No, the Hrs, and the G/L codes associated with the day. If you don't enter any G/L codes then the code will be generated from the employee master record or from the EBD.
